The Best Academy of Dance 2025-2026

 

TERMS, CONDITIONS & POLICIES

 

1.    Payments and fees

 

1.1 In order for a place to be kept open for your child in our classes firstly there is a £10.00 joining fee, payment is required per half term which will be invoiced.

1.2 Payments are made via our class4kids Software.

1.3 Fees are reviewed annually.

1.4 If you are having trouble paying, please speak to a member of our team and we will do our best to help.

1.6  Fees are non-refundable.

 

2.    Cancellation

         

2.1 Should your child wish to cancel one of their classes or finish at Best Academy of Dance then we require an email from the Parent/Guardian A term in advance that term will be paid in full.

2.2 All unattended lessons are still payable.

 

3.    Clothing

 

3.1.          Best Academy of Dance branded merchandise and uniforms for each class are available to order. Please ask for an order form or download one from the website here. www.bestdance.co.uk

Once completed please return to the school. An order will be placed and invoice emailed. Please state clearly the item and size you wish to purchase.

3.2. Uniforms should be worn at every session.

3.3 Hair should be tied back or out of eyes where possible.

 

4.    Classes and performances

 

4.1 Promotional pictures and footage will be taken throughout the year during classes, exams and performances. We ask you select this as an option on our class4kids when signing up if you do NOT wish for your child to take part. We may also work in collaboration with outside media companies in line with our data protection policy. For this reason please ensure that the permissions form on class4kids is updated in line with your preferences.

4.2. We advise that your child does not bring any valuables with them to the classes.

Best Academy of Dance do not accept any liability for lost or damaged belongings. Any belongings should have child’s name clearly marked.

4.3. No child will be allowed to leave the building without a parent/guardian (unless arranged otherwise) Your child’s safety is paramount to us.

4.4. Best Academy of Dance cannot be held responsible for any injuries incurred during dance class. Teachers will ensure students are learning and progressing in a safe manner.

4.5 If you wish to drop a class, this must be confirmed by email.

4.6 If you wish to add a class, this can be done by updating your class4kids account.

 

5.    Discipline

 

5.1. Unruly, disruptive behaviour in class will not be tolerated. We have a strict anti bullying policy in place and expect our students to adhere to this at all times.

5.2. We believe in teaching boundaries and setting a good example in line with our positive ethos to build our student’s confidence.

 

6.    General

 

6.1 Any medical conditions must be disclosed upon registration, and the responsibility falls on you, the parent/guardian, to update us when necessary thereafter through the class4kids software. It is imperative that we are always fully aware of any health implications, for your child’s safety and your own peace of mind.

6.2 Best Academy of Dance communication is made via email, instagram and class4kids software. Please ensure you

follow our social media platforms for recent updates and continue to check all email folders. It is the parent/guardian’s responsibility to keep up to date with all relevant information regarding their child.

6.3 From time to time, it will be essential for physical contact to take place between the teacher and student/peers. We encourage safe practice at all times and support students in doing so.

6.4 All events (performances / exams) are a choice, therefore any participation is not compulsory.

 

 REGISTRATION POLICY

 

Parents/ Guardians are required to fill out the registration form on our class4kids software to be enrolled. Once classes are chosen and forms are complete your first term payment will be required as well as a £10.00 joining fee. All parts of the form should be completed clearly and submitted to the school before any classes are attended.

 

This registration form acts as an agreement between Best Academy of Dance and parents/carers. Any change in circumstances, such as address, contact number or email must be provided on a new registration form, failure to do so may result in vital information being missed.

 

EXAMINATIONS POLICY

 

We organise examinations sessions at our premises or at local examination centres. Students will be invited for entry into examinations when they meet the correct age and entry requirements and when we feel they can execute the work to a high enough standard. The examinations are not compulsory, but any student not taking the examination will only move up when they too have reached the correct standard. Upon registering for an examination students will be expected to attend exam-coaching classes to achieve the standard that is expected within the school. These are additional classes that are not included in the exam price or term fee.

 

The exam fee must be paid by the closing date on the letter you receive. Failure to return exam entry forms and fees on time will mean your child will not be entered for that session.

Please note: once the entries have been sent, the day or time of the examination cannot be changed, and students cannot be substituted or swapped around. Therefore, please do not commit your child to the exam unless you are certain you can make the proposed date as no refunds will be given.

Please note because we are a relatively new school we will be holding off exams until further notice however demonstrations / performances will be taking place.

PHOTOGRAPHY/RECORDING POLICY

 

Best Academy of Dance may use photographs/videos/recordings from shows, performances and classes (including online classes) as educational aids or reproduced for marketing purposes both in print and on its website/social media sites. This is our default position and should you/your child not wish to be depicted please tick the relevant box on the registration form.

 

By attending Best Academy of Dance, you/your child agrees to the following:

 

•               In normal lessons you permit us to use a camera/video to aid us with our teaching, with the knowledge that these will be deleted at the end of each lesson.

•               On exam days we will take photographs of students and if no objection is made, we may post these on the school website or Facebook page.

•               At shows, photographs and recordings will be taken by a professional photographer and be available to purchase. Anyone who is found to be recording during the performances will be asked to leave.

 

 PHYSICAL CONTACT POLICY

 

It may be necessary for teachers to have some physical contact with students in class to correct placement and technique. All teachers are trained to do this in such a way as not to cause injury and will endeavour to seek permission first.

 

DATA PROTECTION

 

Best Academy of Dance is committed to protecting the privacy and confidentiality of its students.

 

Best Academy of Dance will only collect:

 

• Personal information (such as name and date of birth)

• Next of kin (such as name/s and emergency contact number/s)

• Relevant medical information

• Attendance information (such as dates of attendance/absence and reason for absence)

• Assessment information (such as examination results). It also includes your (parent/carer’s or students over 16 years of age)

• Contact details (such as name, address, telephone number and email address). We do not sell personal data to any other organisations. The personal information held by Best Academy of Dance about our students is the minimum necessary to facilitate the running of our business, such as contact details and examination history. Please see our Data Protection policy for more detail.

 

FIRST AID POLICY

 

There will always be a minimum of one member of staff present with a minimum of a one-day Emergency First Aid qualification.

Teachers will all carry their own first aid kit in addition to any equipment available in the venue. These will be checked every 6 months and supplies replaced as necessary. The Principal will carry an Accident Report book.

Teachers are not responsible for the safety and wellbeing of students outside of the dance class or during online classes. Parents/carers must ensure their children act safely and respectfully outside of the class or during online classes and ensure students are dressed appropriately when arriving, participating in or leaving classes.

 

STAFF TRAINING POLICY

 

All our staff hold appropriate qualifications from their respective accreditation bodies (ISTD). It is also a requirement that they hold DBS (Disclosure and Barring Service) certificates that are less than 3 years old and a current First Aid qualification. Each teacher has been confirmed to have Professional Indemnity insurance and the school has sufficient Employers Liability and Public Liability insurance. All our staff have been trained in how to appropriately deliver instruction to various ages, especially to younger children who may need things to be explained to them in a different way. Younger children may not understand some of the language that adults use, therefore, it is 2 important to make sure that dance moves are explained using language that they understand or demonstrate the moves to them to make sure that they understand what they need to do. They have also been trained in correct methods (where these would normally be done with considered physical contact). All our staff have been regularly consulted and information about the school policies and procedures, including safety measures, safeguarding and reporting requirements.

 

BEHAVIOUR POLICY

 

Standards of Behaviour expected: at Best Academy of Dance  

All members of the dance school community are expected to: be responsible for their own actions and know how to behave.

•      show self-discipline and support others. 

•      have good manners and be polite. 

•      show understanding and respect towards each other and others’ property. 

•      display positive attitudes to school and work which emphasises high standards. 

 

ONLINE AND MEDIA POLICY

 

Use of iPad's/Laptops in class is for educational need only

When showing online content in class we will follow e-safety policy and;

•           make sure all laptops/iPads used have passwords 

•           Make sure all laptop/iPads have only appropriate, age related content assessable.

•           Students are not left alone and only used in class under supervision.

 

No phones are permitted in class to try to limit internet access in class time unless we are using it for education needs.

 

Always encourage safe internet practice to all members of Best Academy of Dance.

 

COMPLAINTS POLICY

Licenses and Insurances 

 

Best Academy of Dance is covered for public liability.
